At a year-end party, a client meeting or a product launch, the branding is not settled on the invitation but by what the guest sees on walking in. Most companies try to solve two things at once here: the brand should be recognisable, and the space should be usable. Illuminated furniture comes up more and more often in this context because it lays out the space and lights it at the same time - in a dimly lit loft, an industrial hall or a gala room designed to be dark, that is no small thing. But there are things this furniture can do and things it cannot, and the disappointment almost always arises where the boundary between the two has not been stated in advance. In this article we go through how a company's branding becomes a visible space: where things stand with the brand colour, how the reception counter, the lounge and the photo point are built up, what to take to a stand, how much preparation it takes, and what the venue simply will not allow.

Brand colour: seven shades, and what will not fit into them

Most clients start by saying the light has to match the company colour. The honest answer: you can get close, but not match exactly. Illuminated furniture offers seven fixed shades, switched by remote control, so you can pick the one closest to the brand from them, but there is no way to mix a custom shade - to hit a particular HEX code, say. This is worth settling with the marketing colleague before the visual design, because it is the most common misunderstanding. What the seven colours give in exchange: the remote switches the whole stock at once, so the light can be more restrained during the reception and livelier during the party, with no decorator and no further hired props needed. And with a different shade per zone a boundary shows without any barrier: if the VIP area glows in a different colour from the public space, the guest instinctively stays in their own. In photographs, moreover, an evenly coloured, saturated surface behaves well, because it gives a large, continuous area rather than small glints.

Reception counter: the first thirty seconds

The reception counter is the most important element because it tells the person coming in where to approach a colleague. The bar counters are exactly right for this, because they are 109.5-110 cm high, they light up, and they store things. The 102 cm element with an upper shelf weighs 25 kg, runs on two 5600 mAh batteries, and keeps the name badges and the leaflets on its shelf at roughly eye level; the same element also comes in a side-storage version, in the same size. The 70 × 70 cm corner element weighs 18 kg, and that is what joins the two: the three make a complete L-shaped reception zone where you register on one side and talk on the other, and the two do not jam into each other. If a straight, wide counter is needed, the 150 cm element with lower storage is the largest usable long piece, at 34 kg. At that length three or four guests can be served at once, so above a hundred people plan two separate counter stations rather than one longer one. Always mark the counter's position from the direction of the flow, not deep in the room.

Lounge zone: where the longer conversation happens

A lounge is not decoration but a function: it is the few square metres where a serious fifteen- or twenty-minute conversation can take place without anyone walking into it. Our largest ready-made unit for this is the VIP lounge set: a 177 cm cushioned sofa, two high-backed armchairs and a 160 × 80 cm large table, 91 kg in all - four or five people can sit down facing one another in it. Where there is not enough room for that, the pair of armchairs with an oval coffee table is the smaller sibling: two cushioned armchairs and an 85 × 48 × 46 cm table, 48.5 kg in all. Take one thing into account: the top lights from within, so thin paper shows through it, and coloured light beside a laptop screen can be distracting. If there is going to be signing or note-taking in the corner, choose a larger top surface - two folders fit side by side on the 160 × 80 cm large table, but not on a small round one. The lounge typically belongs in the back third of the room, screened from the main flow.

The photo point and the LED wall behind it

A photo point consists of two parts, and the two are not the same product. The background is the LED wall's job, because it can carry a logo, lettering and moving images - the furniture cannot. Our panel available for hire works with a 64 × 192 cm portrait image surface, stands at human height on a castored base, and can be linked side by side: from one panel to five, with the largest configuration 320 × 192 cm at a 16:9 aspect ratio. A single panel weighs 45 kg, draws 0.8 kW, and runs from a mains connection, so the photo point - unlike the furniture - does need a power supply. The daily list price of the indoor P2 panel is HUF 30,000 + VAT per panel, that is HUF 38,100 incl. VAT; delivery is charged at HUF 200 + VAT per kilometre based on the actual return distance measured from Győr, while setup on site and training are free of charge. An illuminated cocktail table or a stool belongs in the foreground, so that the guest has somewhere to put their glass down before stepping into the picture. For an outdoor photo point, the outdoor, cabinet-built P2.5 or P3 version is the right one, at 4500-5000 nits.

An exhibition stand: what to take and how much

The same logic applies on a stand, only within stricter limits, because there every square metre and every circuit is a separate item on the organiser's list. The reception counter goes on the edge parallel to the aisle, not deep into the stand; the meeting corner goes in the back third, so that passers-by cannot see into it. It starts to make sense from around nine square metres: in a six square metre corner a counter alone almost fills everything, whereas above twelve square metres a counter and a separate seating corner will fit side by side. Settle two things with the organiser in advance. One is charging: the days cannot be strung together, everything has to be charged every evening, yet in many halls the power to the stands is switched off after closing. The other is closing overnight - if the stand stays open, put the small, easily carried pieces, for example the 4.84 kg cube stool, into a lockable area. And in the load-in it is size that is the bottleneck, not weight: the counter elements are between 102 and 150 cm wide, so measure the internal dimensions of the goods lift in advance.

What a branded zone costs for a day

The daily hire rate is 20 per cent of the product's gross sale price, and every item can be worked out from that. The 60 × 60 × 110 cm square cocktail table, with a list price of HUF 130,000 incl. VAT, is HUF 26,000 incl. VAT a day; the advantage of this square top is that lined up in a row it forms a corridor, so in a large space it regulates the flow of guests. The round Ø80 × 110 cm cocktail table is HUF 44,000 incl. VAT a day from HUF 220,000 incl. VAT, and the 150 cm bar counter HUF 58,000 incl. VAT a day from HUF 290,000 incl. VAT. A set is better value, because the list price of a ready-made set is 95 per cent of the sum of its members: the L-shaped bar counter set - an element with an upper shelf, a corner element and a side-storage element - is HUF 807,500 incl. VAT, that is HUF 161,500 incl. VAT a day, against the HUF 170,000 incl. VAT for the three elements hired separately. The VIP lounge set is HUF 203,300 incl. VAT a day from HUF 1,016,500 incl. VAT, and the round cocktail table with four compact bar stools HUF 98,800 incl. VAT a day from HUF 494,000 incl. VAT. For several days and larger configurations an individual, itemised quotation is issued.

How much preparation it actually takes

The good news is that there is no rigging involved: unpack, push into place, switch on, done. The planning, though, cannot be skipped. First you need the guest numbers and the floor plan of the room, because that is what determines how many high tables and how many lounge islands will fit while leaving one and a half to two metres of clear space between two tables. Then comes the timing: the built-in battery is rated for 6-8 hours of operation, whereas a corporate year-end party runs for eight to ten hours from the reception through to the party. This is usually solved by switching on in zones - during the reception only the entrance zone and the counter band are lit, and the dance floor pieces are switched on towards the end of dinner. Plan the charging for the day before. We do not provide an operator for the furniture, because there is nothing to operate: switching on, and the colour on the remote. For the LED wall, setup on site and training are free of charge, and for a one-day event an operator colleague can be requested. Do talk to the video crew, though: a body lit from within appears as a strong, saturated patch on the recording, and if it comes close to the speaker it pulls the white balance.

What the venue and the product will not allow

There are two documents that decide before the visual design does. One is the venue's house rules: many hotels and conference centres specify what may stand on the floor, and by which route and at what time it may be brought in. The other is the stand-building regulations, which set out floor loading, height and fire safety conditions. This is where it helps that with the furniture there is no wiring and no cable on the walking surface - two recurring objections drop out of the list from the start. With the LED wall there are: a circuit has to be requested there, and the cable routing has to be agreed in advance. From the product side there are three limits worth stating in the brief. No adhesive lettering should go onto a hired piece, because the surface is damaged when it is removed, and a decal would in any case mask out a band as a dark patch on an illuminated body. A custom brand shade cannot be mixed, only the seven fixed colours. And this is not a screen: it has no image surface, it carries no logo, product list or video, and nothing can be projected onto it. In strong daylight, moreover, the effect is more muted - it shows at its best in a room that can really be dimmed, in a windowless loft, in a hall and at an evening gala.

Can you mix our company colour exactly?

No. Illuminated furniture offers seven fixed shades switched by remote control, so we pick the shade closest to the brand, but there is no way to hit a specific HEX code. If the exact brand colour is compulsory, that is the LED wall's job, because it is an image surface and can display any colour. The two sit together well: the wall carries the message and the furniture organises the space.

Can we put our logo on the illuminated furniture?

We do not put adhesive lettering on a hired piece, because the surface can be damaged when it is removed. It would not work well either: the body lights from within, and a decal would mask out a band as a dark patch. A logo needs a separate carrier - a LED wall, a LED poster, a roll-up or a banner beside the zone.

What is the daily rate for a reception counter and two cocktail tables?

The daily rate is 20 per cent of the gross list price. The 150 cm bar counter with lower storage, at HUF 290,000 incl. VAT, is HUF 58,000 incl. VAT a day, and the 60 × 60 × 110 cm square cocktail table, at HUF 130,000 incl. VAT, is HUF 26,000 incl. VAT a day each. Those three items together come to HUF 110,000 incl. VAT a day. Is one LED panel enough for a photo point?

One panel is a 64 × 192 cm portrait image surface, so roughly a door-sized, human-height background - enough behind one person or a couple. For a group picture it is worth linking two or three panels, which gives a surface of 128 × 192 cm or 192 × 192 cm. Power is needed in any case: one panel draws 0.8 kW and weighs 45 kg.

How far in advance do we have to get in touch for a corporate event?

We do not promise a specific deadline, because free capacity varies from period to period, and in the trade-fair and year-end season the calendar fills up fastest. What to tell us when you enquire: the number of guests, the venue, the number of days and the character of the room. We answer these in writing and itemised, and a booking exists only after written confirmation.
