Why events use cabinet systems
Event LED video walls are built almost without exception in cabinet systems, meaning the whole surface is assembled from identically sized standalone panels, typically 50 by 50 or 50 by 100 cm, that connect together quickly. That modularity is what allows the same cabinets to be assembled into a 2 by 2 metre wall for a smaller conference room or an 8 by 4 metre, even curved, surface for a main stage. Cabinets are typically made of magnesium alloy or carbon, which is light yet robust, standing up to frequent transport and assembly without image quality degrading over time.
Fast rigging: how long the build takes
Fast rigging is made possible by the quick connectors on the cabinets and the built-in interlocking fixings, which clip together with no tools or minimal tools, so the derig is similarly quick - particularly important where the system has to go up and come down within a single day. On larger surfaces, 8 by 4 metres or curved builds for instance, rigging time can rise to 6-8 hours, so on bigger events it is worth settling the exact build-up and derig windows at the technical site meeting, so the programme does not slip.
Pixel pitch by viewing distance
The basic rule for choosing pixel pitch is that the closer the audience sits or stands, the finer the pixel needs to be. In a conference room where viewers may be only 2-3 metres from the wall, a pixel pitch of 2-3 mm is worth choosing so that text and presentations stay sharp. At an outdoor concert where most of the audience stands 15-20 metres away or further, a pitch of 4-6 mm gives a perfectly sharp image and represents a significantly cheaper solution. The rule of thumb is that 1 mm of pixel pitch requires roughly 2.5-3 metres of comfortable minimum viewing distance - any closer and the grid becomes visible, which spoils the overall effect, particularly on camera-recorded material.
Brightness and the indoor-outdoor difference
For indoor events in conference rooms, a panel at 800-1,500 nits is enough, because room lighting is easy to control. For outdoor daytime events, however, 4,000-5,000 nits is needed so the image does not wash out in sunlight, which is why it is important to establish at the planning stage whether the event is at an indoor or an outdoor venue - it fundamentally determines the type of panel required. If the event is also being recorded on camera, for a live stream or a later video, it is worth asking for a panel with a refresh rate of at least 3,840 Hz, because at lower rates banding or flicker can appear on camera that is not visible to the eye at all, only on the recording.
Content management and live control
Control of an event LED video wall is often live: the technician switches between presentation, live camera feed and graphic elements during the programme, so a reliable, low-latency control system that can handle video input, computer content and even a live feed at the same time matters a great deal. On larger events it is worth agreeing with the technical crew while the programme is being put together what format and resolution the content will arrive in, because a badly sized presentation or video can no longer be fixed on site, or only with a loss of quality.
Hire or buy: when each makes sense
If you only need an event LED video wall occasionally, a few times a year, hiring is clearly the more economical solution, because you avoid taking on the purchase cost, storage and maintenance of a complete system. If, on the other hand, you run events regularly, several a month - as an event production company, for instance - an owned cabinet system can pay for itself over the long term, recovering its cost in one to two years through the hire fees saved. It is worth counting up the frequency of your events over the past year or two: if you needed a LED video wall more than once a month, the arguments for buying are typically stronger than those for hiring.
Transport and storage
One of the great advantages of cabinet systems is that they move easily in dedicated flight cases, stacked, which means even a mid-sized wall can be transported in a single van. For storage, a dry room protected from temperature swings matters, because panel electronics can be sensitive to extremes of humidity. On an owned system it is worth sticking an inventory identifier on each case, so that after every job it can be checked quickly whether every cabinet has come back to the store.
What to watch when hiring or buying for events
It is worth choosing a supplier who, beyond the site survey, also takes on transport, rigging and on-site technical supervision, because at a live event there is no time for troubleshooting by trial and error. The availability of spare panels is another important question - a reliable supplier always brings spare cabinets so that a fault does not cause an interruption during the event. Ask too whether the crew provides live technical presence for the full duration of the event, because during a conference or concert running several hours a content change or a small fault can arise at any moment that has to be handled on the spot, immediately.
Expert tip: ask for a test build before a major event
For a particularly important, high-attendance event - a corporate gala, a conference with well-known speakers, a concert - it is worth asking for a test build days in advance, or at least a content test on the final control system. That reveals in good time if the presentation resolution does not fit the size of the wall, or if the video format needs converting, leaving time to fix it before the guests arrive. This single step saves a great deal of subsequent stress for both the organiser and the technical crew.
Common mistakes when hiring an event LED video wall
The most common mistake is ordering too fine a pixel pitch for a large space with a distant audience, which needlessly increases the hire cost without bringing any perceptible improvement in quality. Another typical problem is an under-sized power supply: a larger LED video wall draws considerable current, and if there is not enough stable power at the venue the system can shut down in the middle of the event. Many people also fail to establish who is responsible for delivering the content on time - if the presentation or video only arrives on site at the last minute, it significantly increases the scope for error and the stress on both sides.
"It will be a cheap no-name build" - what reliability actually rests on
Many organisers worry that a hired or purchased event LED video wall will consist of unnamed, unreliable panels that let them down at the most important moment. In reality, reliability depends not on the country of origin but on the named LED chip manufacturer, the quality control applied, and whether the cabinets come from the same production batch, because with different batches colour temperature and brightness can differ, producing a patchy, uneven image. It is worth asking whether the supplier uses its own regularly maintained, uniform system rather than a wall built from ad hoc panels of mixed origin.
Crew size and technical supervision during the event
Putting up a mid-sized 4 by 3 metre wall and supervising it during the event typically takes a crew of two or three; for larger, more complex systems - multi-surface, curved or installations visible from several viewpoints - this can rise to four or five. The on-site technician is responsible not only for troubleshooting but for switching content live, so it is worth settling at contract stage whether the crew stays on site for the full duration of the event or is only responsible for the build and the derig.
Power supply and backup
A larger event LED video wall can draw substantial current, potentially several tens of kilowatts, so the available electrical capacity should always be discussed as part of the site survey. At outdoor, temporary venues - an open-air festival or an event in a marquee - a generator feed is often needed, and its stability is critical, since a voltage fluctuation can restart the wall and lose a few minutes of content. An experienced supplier always allows for a backup feed or at least uninterruptible cover for the most important moments, such as the welcome speech or an awards presentation.
Warranty and accountability at events
In event production the warranty question arises somewhat differently than for a permanent installation: what matters most here is not long-term component cover but whether the supplier accepts responsibility for the event running smoothly. It is worth asking whether the contract includes a penalty or compensation clause for the case where the wall fails to work properly through the supplier's fault during a critical part of the event, because that is a good indication of how much confidence the partner has in its own system and crew.
