Projector hire or LED wall rental? When each one pays off

Anyone looking for a display for an event usually starts with the phrase projector hire or beamer rental, because that is what they know from school and the meeting room. LED wall rental only comes into view once they have seen a washed-out, faded projection in a glass-walled room. This article exists so you never have to live through that moment: we go through when a projector is enough, when you need an LED wall, and what the two cost in practice — with our own rental prices, not estimates.

What a projector can do, and where its limit is

The great advantage of projector hire is price and size: a 3000–5000 lumen unit with a screen is cheap and quick to set up and gives a 3–4 metre picture. The drawback is that the image does not come from the device but is reflected off the screen — so every bit of light that falls on the screen is taken away from the contrast. In a room with windows, in the morning, the white background turns grey, the dark areas turn watery, the colours of the charts blur. The second limit is the viewing angle: whoever sits to the side of the screen, at an angle, sees a much fainter picture. Third: nobody can stand between the projector and the screen, so a presenter moving on stage or a dance floor rules out front projection.

What an LED wall gives that a projector does not

An LED wall emits its own light rather than reflecting it. The brightness of our rental indoor panel — P1.5, P2 or P2.5 — gives a sharp, high-contrast picture in daylight, without curtains; under open sky the outdoor cabinet-built P2.5 or P3 version belongs there, and that is available to rent too. The viewing angle is close to 160 degrees, so people at the side see the same as those in the middle. There is no throw distance: the wall can stand at the back of the stage, in front of a wall, by the entrance, anywhere, and the presenter can step in front of it without casting a shadow. Content goes on from a USB stick, a phone or a laptop via HDMI, so a presentation, a video, a live camera and a photo replay all run the same way. What counts against it: it is heavier, one person will not bring it in the boot of a car, and the picture size depends on the number of panels — with us from 64 cm to 320 cm wide.

When is a projector enough?

There are four situations where projector hire is the right decision and spending on an LED wall is unnecessary. The first is a room that can be darkened: if the conference room has blackout curtains or no windows, the contrast of a good projector is plenty. The second is a short, seated programme: a ninety-minute talk where everyone sits facing the screen. The third is a very large picture at a very low cost: a projected 5–6 metre image is still cheaper than an LED wall of the same size. The fourth is a cinema-style evening screening: in the dark, seated, in silence, the projector is perfect. If at least two of these four apply to your event, hire a projector.

When do you need an LED wall?

The other way round there are four situations too. The first is a bright or glass-walled venue: a modern office meeting room, a hotel ballroom with panoramic windows, a glass-roofed atrium, a covered terrace — here the projector has no chance. The second is the all-day event: at an 8–10 hour conference the morning sunlight and the evening lighting alternate, and the LED wall looks the same in both. The third is when the display itself is the spectacle: a stage backdrop with a logo and moving graphics, a wedding photo wall, an award-show backdrop, an exhibition stand — here the picture is not information but scenery, and a faded projection spoils the whole look. The fourth is a picture viewed from the side and on the move: a standing reception, a terrace, a shop, where the audience is not seated facing one way. What do the two cost in practice?

Hiring a conference projector with a screen typically stays below the daily rate of a two-panel LED wall on the market — the exact figure differs by provider and brightness, and since we do not hire out projectors, we give no number here. LED wall rental with us is a net daily rate per panel — indicative: about €75 net per panel per day at a fixed 400 HUF/EUR conversion: a four-panel 256 × 192 cm, 4:3 wall — the aspect ratio of presentations — is about €300 net per day, a two-panel 128 × 192 cm wall about €150 net per day. Add delivery from Győr, charged net per kilometre for the return trip, and, if you want one, an operator at a net daily rate of about €62.50. Setup and training are free. So the difference exists, but it is not tenfold: at an all-day event held in a bright room, the LED wall is the item the participants notice — in proportion to the other costs, the room, the catering, the speakers.

Hybrid solution: projector in the main hall, LED wall at the entrance

The two technologies do not exclude each other, and at a larger conference the mix is often best. In the plenary room that can be darkened, the hired projector stays for the slides, while one or two portrait LED panels go into the bright foyer and the registration area: programme, room plan, sponsor logos, a live social-media wall. That way the participant meets the spectacle in the brightest, most-crossed space, and the cost of the main hall stays low. Setup, operation, risk

You usually commission the projector yourself: stand, screen, cable, keystone correction, focus — and if the room cannot be darkened, it is on site that you discover it cannot be seen. We set up the LED wall: one panel takes a quarter of an hour, five panels about an hour, then we show you how to change the content. At a one-day event you can also book an operator who stays throughout. On the risk side, the projector's lamp and temperature are the weak points, while for the LED wall it is transport and access — the van must be able to stop near the entrance, which is why we ask about parking and loading when you book.
