The advertising sign production process: five builds, five different routes
On paper, making advertising signage is always the same seven stages; in practice it is five different routes. A printed shopfront panel, a light box sign, a channel letter set, a programmable LED sign and an outdoor full-colour surface branch off at different points: each asks something different of you as input, and the regulatory stage enters at a different place.

What the advertising sign production process covers, and where it branches
Making advertising signage consists of seven consecutive stages: establishing requirements, site survey, artwork, the regulatory stage, manufacture, installation, and finally handover and training. Only three of these - design, manufacture and installation - happen in the installer's hands; the success of the other four depends on whether the client provides decisions, files, permissions and site access in good time. Namely, where and why the seven stages branch according to the build chosen and the type of consent needed - because there is no single, uniform advertising sign project. A printed shopfront panel and an outdoor full-colour LED surface consist of the same seven stages, yet their inputs differ, their regulatory routes differ, and their lead times differ by an order of magnitude. So it is worth settling three things before the first phone call: what has to be displayed, from how far it is seen, and whether the content changes. Those three answers pick out the branch, and the branch determines the length of the process and the cost structure too. Step zero: three questions you have to answer yourself
The first question: does the content change? If a permanent company name and logo are to go up, channel letters or a light box sign are the right direction. If you also want to display prices, promotions, opening hours or news, you need a programmable LED sign, because every alteration to a printed face means new manufacture. The second question: from how far is it seen? On LED builds, the pixel pitch in millimetres is the starting point. The image already comes together at a distance in metres equal to the pitch in millimetres - that is the minimum recommended distance on our module datasheets, 4 metres on a P4 sign - but comfortable viewing is at 2.5-3 times that: 10-12 metres at P4, 25-30 metres at P10. The third question: outdoors or indoors? Outdoors the professional minimum is 4,500-5,000 nits with automatic brightness control, and our own outdoor LED modules deliver 5,000-8,000 nits - but local rules may cap the permitted brightness of advertising displays, particularly after dark, so the top of that band cannot be used without limit. Indoors the requirement is 600-1,200 nits, and our own indoor modules deliver 800-1,200; an indoor sign that is too bright is more irritating than effective.
Advertising sign builds from the point of view of the process
The word 'advertising sign' covers five quite different products, and each has a different input, a different installation requirement and a different lead time. The table below does not compare price or service life - you will find those in our material on illuminated signs - but what you have to supply, what is looked at first outdoors, and how much time to allow from approved design. The last column is specifically the time for manufacture and installation, without consents: the regulatory stage adds separate weeks to it, which is why the full 4-8 week lead time appears in brackets for outdoor builds subject to notification. The most important difference, though, is not in the time but in content updates: with printed-face solutions, every change of wording means new manufacture and new installation, while on programmable LED signs the same is done from a phone in minutes. That difference is invisible at the point of purchase, but over five years it can become one of the largest items in the total cost.
The five branches: where the process actually divides
The non-illuminated printed panel has the shortest branch: no power requirement, no electrical preparation, installation is purely mechanical fixing, and the regulatory stage typically only touches it in terms of size, position and the appearance of the facade. On the light box sign branch, a mains feed and a dedicated circuit enter, so electrical preparation becomes a parallel task from the day of the survey; and here vector input alone is not enough - a Pantone or RAL code is needed too, because a colour picked on screen cannot be reproduced exactly in vinyl. The channel letter branch is the most sensitive to the graphic input: letter outlines are needed, with the typeface converted to curves, and because of the standoff from the wall plane and the sealing of the standoff fixings, an insulated facade becomes a technical question in its own right. On the programmable LED sign branch, a data connection appears for the first time as a mandatory element - network cable, demonstrably stable Wi-Fi, or a mobile-network controller - and in exchange content updating drops out of the manufacturing process: what is new manufacture on the other branches is a matter of minutes here. The outdoor full-colour LED branch contains everything that appeared separately in the previous ones, and adds two things: structural and wind-load calculations, and compliance with brightness limits. Site survey: what we measure, and what to prepare
The site survey is half an hour to an hour's work, and this is the stage that decides the size, the technology and the method of fixing. The surveyor records the condition and material of the wall plane - brick, concrete, sandwich panel or insulated facade, each with its own fixing method - the distance to the nearest power point, the typical viewing distance and angle, the direction of the sun, and whether the position can be reached with a cherry picker or scaffolding. Viewing distance is not a formality here: it is what determines the pixel pitch, and comfortable viewing is 2.5-3 times the pitch in millimetres, taken as metres. There are three things worth settling in advance on your side: who owns the facade, whether written owner's agreement is in place for a leased property, and whether a decision of the owners' meeting is needed in a block of flats. Obtaining these can take weeks, and if their absence only emerges on the day of the survey, the project slips by exactly that much. This is also the moment to say if you are thinking of a larger surface later: at this point it still fits into the sizing of the support structure and the circuit.
Artwork: the file without which manufacture does not start
The input to manufacture is not the idea in your head but a specific file. A vector logo is needed - in AI, EPS, PDF or SVG - because only that can be scaled up to the size of the sign without loss of quality. If all that exists is a JPG or PNG saved from a website, the logo has to be redrawn, which is separate work and separate time. It is worth supplying the typeface converted to curves so it is not substituted in the print or cutting file. Give the colour as a Pantone or RAL code rather than picking it on screen: the RGB colour you see on a monitor cannot be reproduced exactly in paint, vinyl or LED. For a printed face, resolution always has to be calculated for the final size and the actual viewing distance, not the size of the original file - ask the manufacturer for the specific figure required, because it varies by build and printing technology. Ask for the visual in both day and night states, and approve the final version in writing - that approval is the official starting gun for manufacture.
The regulatory stage: the critical path of the process
This is where the rules differ most from place to place, and where old summaries go out of date fastest. Two things have to be separated. Advertising media placed on public space, or on private land visible from public space - typically a surface carrying third-party advertising - are generally governed by their own regime, often set centrally. Placing a business sign, a projecting storefront sign or shop lettering on your own shopfront, by contrast, is generally an activity subject to a townscape notification procedure: the notification goes to the relevant local authority with documentation showing the planned size, position and appearance, and there is usually a short, prescribed deadline for the decision. Brightness may also be capped: local rules commonly limit the permitted brightness of advertising displays, particularly after dark - which is why automatic brightness control and a night-time brightness profile are not an optional item on an outdoor sign. What actually lengthens the process is not the decision deadline but the prior consultation with the local design officer, any request for further information, and parallel procedures - beside a public road, for example, the road authority's agreement may also be needed - so this stage can run from a few weeks to a few months. It follows that the common sequence in which the client has the sign manufactured first is wrong: if the procedure produces a smaller size or a lower brightness, the finished sign is unusable. The correct sequence is for this stage to start in parallel with the design, before manufacture is ordered. Requirements differ by municipality and by site; this section is general information and does not constitute legal advice - in any specific case, the relevant local authority governs.
Manufacture: the point after which nothing can be changed
Material ordering and cutting start from the approved design, and that is the point after which the size and the build can no longer be changed without extra cost. On LED signs this deserves separate understanding: the size of the surface is determined by the module and cabinet dimensions, the resolution cannot be cut to an arbitrary size, so the final width and height of the sign are always a whole multiple of the module size. Quality manufacture has three checkable signs. First: every module in the surface should come from a single production run and the same colour category, because a mixed run gives a patchy, striped surface - you can ask for this in writing, and it matters years later too when ordering a replacement module. Second: at least IP65 front protection on outdoor builds; indoor LED modules are IP31, so no price difference justifies putting them outdoors. Third: a factory power-up with pixel and colour testing before packing - ask for a photograph or a short video of it. Manufacturing time depends on the build: 1-2 weeks is typical for a printed panel, 1-3 for a programmable LED sign, and 2-4 for a light box sign or an outdoor full-colour surface. This is worth setting down in writing when you accept the quotation rather than agreeing it verbally - and not confusing it with the total lead time, which includes the regulatory stage.
Electrical and structural preparation: the client organises this
An illuminated or LED advertising sign is not a device designed for a socket. The correct installation is a dedicated circuit protected by a residual current device, with the cable route brought out to the sign's position and closed off outdoors with an IP-rated junction box. If you do not want the sign running all night, ask for a time switch or dusk switch to be fitted here, not afterwards. Programmable signs also need a data connection: either a network cable at the sign's position, a demonstrably stable Wi-Fi signal, or a mobile-network controller if the sign is far from the office. On an insulated facade, drilling through for the fixing points requires subsequent sealing, or precipitation gets into the insulation. This work is typically done by the client's electrician, so ask the installer for the electrical datasheet - nominal and peak power - in good time, so the electrician can size to it.
Installation day: what you have to provide on site
Fitting an average-sized sign is half a day to a day's work; on a project needing a bespoke support structure or covering a large area, it can stretch to several days. Four things depend on you on installation day: clear space for the cherry picker or scaffolding, any public-space booking sorted if the machine stands on a pavement or road, power and access to the site, and someone present who can make decisions if a question comes up mid-job. On illuminated and LED builds it is worth starting in the morning, because the final brightness setting has to be checked after dark: by day every sign looks fainter than it actually will be at night.
Handover: the six documents you should always ask for
Handover does not consist of handing over a key but of a document pack you will need years from now. Ask for: (1) the dimensioned fixing and assembly drawing, (2) the electrical datasheet with nominal and peak power, so the capacity of the feed can be checked at any time, (3) the warranty certificate with the terms and the fault-reporting procedure, (4) the operating manual in your own language, (5) all the controller's access details - network name, password, software, licence - issued in your own name, and (6) the exact type and pixel pitch of the module or panel fitted. The last two are the least often requested and yet the most important items: without controller access you are at the installer's mercy, and without knowing the module type, ordering a replacement module years later is difficult. Handover also includes training, at the end of which you can change and schedule content yourself.
The first 30 days: this is when everything comes to light
The sign's first month is essentially an operational test. Look at your own sign from outside in the evening: the most common public complaint is an outdoor surface that is too bright, and that can be put right in minutes with automatic brightness control or a night-time brightness profile, whereas a formal complaint can turn into a discussion with the authority. On an advertising display this is not a matter of taste: local rules commonly set an upper limit after dark, so the night-time profile has to be set to it. On outdoor builds it is worth checking after the first rains whether there is condensation on the inside of the face; that indicates a sealing fault and is a warranty matter. If an individual pixel fault appears on the surface, report it at once rather than waiting for the end of the warranty period. Finally, set up the content schedule: a programmable sign delivers business results when it follows the opening hours and the time of day, not when the same image runs on it for months.
What determines the price: cost factors, not figures
There is no meaningful list price for advertising signage, because nine factors together produce the total: the size of the surface in square metres, the build chosen (printed, light box sign, channel letters or LED), on LED the pixel pitch (finer resolution means more LEDs and more driver electronics per square metre), the level of brightness and ingress protection, the design of the support structure, the equipment needed for work at height, the length of the power feed installation, the method of control (Wi-Fi, network cable, mobile network or cloud), and finally the distance to the installation site. An honest quotation shows all of this on separate lines, because that is the only way two quotations can be compared: if one includes the support structure and the regulatory administration and the other does not, the two totals are not describing the same project.
Indoor and outdoor advertising signage: where the process differs
For an indoor sign the process is shorter: a regulatory stage typically does not arise, the brightness requirement is 600-1,200 nits (our own indoor modules deliver 800-1,200), and installation depends on the flatness of the wall plane and the fixing. If the sign will be in front of a camera - a studio, a conference, a live broadcast - then the refresh rate is the decisive technical figure: the professional recommendation is at least 3,840 Hz, because below that banding can appear on the recording. Fine-pitch modules typically achieve that figure, but the coarse P8-P10 outdoor modules often work only at 1,920 Hz - and those are not suitable for a surface intended for camera. Outdoors, every stage is longer: consultation with the authority, structural and wind-load considerations, an IP65 face, the professional minimum of 4,500-5,000 nits with automatic control (our modules deliver 5,000-8,000 nits, though local rules may cap what is permitted after dark), protection against condensation, and work at height. The same surface area outdoors is therefore not simply more expensive but has a longer lead time - an indoor and an outdoor project should never be scheduled on the same calendar.
One contractor or several: where responsibility gets lost
If the artwork comes from an advertising agency, the sign from a manufacturer, the wiring from an electrician and the scaffolding from a fourth company, then the project has three interfaces at which nobody is responsible for the whole. In practice the dispute is not about the quality of the work but about whose remit a phenomenon falls into: is uneven brightness a manufacturing fault or a power supply problem, is water ingress a sealing fault or a drilling fault? Ordered from one source, the question does not even arise, because a single contracting party is responsible from survey to training. If you do work with several parties, at least set down in writing who coordinates the project and whose job it is to sign off each stage.
Expert tip
Ask for an itemised quotation, and ask within it for separate lines for the support structure, the power feed installation, the regulatory administration, the equipment needed for work at height, and the training. Most 'cheaper' quotations are not cheaper but contain less: on a facade sign, the support structure and the work at height together are often a bigger item than the apparent difference between two totals. In the same quotation, ask in writing for the manufacturing and installation deadlines separately from the total lead time including consents, and for how many hours or days it takes for a service engineer to be on site in the event of a fault - that number says far more about a supplier than any marketing sentence.
Common mistakes
1. Confusing manufacturing time with total lead time, and starting the regulatory stage only after manufacture. Manufacture is 1-4 weeks depending on build, but for an outdoor sign subject to notification the total lead time is 4-8 weeks - and if the procedure produces a smaller size or lower brightness, the sign already made is unusable. 2. The client remembers an older set of rules. Rules on advertising media change, and the regime for third-party advertising is often separate from that for your own facade signage, which generally remains subject to a townscape notification - the two must not be confused. 3. The logo is only available as a JPG or PNG. Without a vector file (AI, EPS, PDF, SVG) the logo has to be redrawn, which pushes the start of manufacture back by days or weeks. 4. The sign is powered from an extension lead or an existing lighting circuit. The correct solution is a dedicated circuit protected by a residual current device, closed off outdoors with an IP-rated junction box. 5. Nobody sizes the support structure and the wind load, because the quotation only covered the sign. On an outdoor facade surface this is the most common subsequent extra cost. 6. The client does not ask for the controller's access details at handover, and so has to call the installer for every small change of wording. 7. Brightness is only checked in daylight. Local rules commonly cap advertising brightness after dark, so without a night-time brightness profile the sign can dazzle, which can result in neighbour complaints and a discussion with the authority. 8. In a leased property, written owner's agreement or a decision of the owners' meeting is not obtained, and this only comes to light on installation day.
