Portable LED poster: folding stand or flight case?
Two portable LED posters give the same picture, yet you pay quite differently for them by the end of the first season - and the difference is not in the display but in how it travels. On one build the base folds or comes off and the poster travels flat in a soft bag. On the other, the same rigid poster gets a padded, wheeled case.

What 'folding' and 'flight case' actually mean. The display surface folds on neither build
This is worth clarifying, because the terminology misleads: the display surface of a portable LED poster does not fold on either build. The modules that produce the image sit in a rigid aluminium frame, and that frame does not bend. What everyday speech calls folding is the support structure: the wheeled or T-shaped base folds or comes off, and the poster travels flat in a soft, padded bag. The thickness of the poster panel varies considerably by build: everything from an ultra-slim panel of about 3 cm to a more robust housing of around 10 cm occurs, so read it from the datasheet rather than estimating. On the flight-case build, the same rigid poster gets its own padded compartment in a wheeled case made of plywood or aluminium-and-multiplex construction, together with the accessories. If you genuinely need a surface that rolls up, that is another product category: the roll-up LED wall built on a flexible substrate, used as a stage backdrop.
The number of moves makes the decision, not the price of the poster
Do not start from the price of the equipment but from how many times a year it passes through human hands. At zero to two site changes, the packing is effectively irrelevant: the poster is wall-mounted or stands on a fixed base, and the question does not arise. At three to eight moves a year - seasonal campaigns, a few trade fairs, one or two corporate events - the folding, flat-packing build is the more economical, because the price and volume of a case does not pay for itself over that many occasions. Above eight moves a year, though, the picture reverses: from then on the padded wheeled case is not a convenience item but risk management. For an event organiser, a hire company or a touring exhibition, that number quickly grows into the dozens, and there the case is not an option but standard equipment.
Weight and packed volume: what the van has to carry
A standard 640 x 1920 mm LED poster gives 1.23 m² of display area and typically weighs 30-45 kg according to manufacturers' datasheets - considerably more than you would expect from the word 'portable', and consistent with our own indoor module datasheets, which put the weight per square metre alone at 23-26 kg/m². Two practical consequences follow. One: on a wheeled base, one person can roll it, but lifting it - into a vehicle, out of a vehicle, out of a case - is a two-person job, especially as the poster is nearly two metres long. Two: packed flat in a bag, the poster fits on the folded-down rear seats of a larger estate car or MPV, provided the load space is two metres long and the poster travels lying down and supported. The padded flight case is several centimetres larger than the poster in every direction, plus the height of the wheels, and its own weight is significant: on manufacturers' gross and net weight figures, the weight to be transported typically rises by half to double. For one poster that still fits in a small van, but with three or four posters it moves up a vehicle class, and that shows up in the transport cost on every single occasion.
Set-up and packing time: this is where the case earns its price back
On the folding build, the work on site consists of unpacking the bag, fitting the base, cabling, and at the end packing all of it carefully away again. That is about a quarter of an hour each way, and it demands attention, because a carelessly rolled bag will not protect anything on the next journey. With a cased poster the operation is different: you wheel the case in, open it, the poster is essentially ready once lifted out, and the case stays there as storage. That is a few minutes each way. At a single event the difference disappears in the general chaos of the day, but after twenty events it is measurable in working days - which is exactly why most hire companies ship in cases.
Risk of damage: the packing is one of the conditions of the warranty
One of the most common sources of loss on mobile LED displays is not operational failure but transport. The two most vulnerable points of a poster are the module surface, where a point impact causes a dead diode, and the corner of the frame, because a knock on a corner can shift the module plane, which then shows as a visible seam at the edge of the image. A soft bag protects against this only to a limited extent: it keeps out scratches and dust, but not a drop or a case placed on top. A padded, rigid case with corner protectors effectively eliminates this risk. It is important to know that mechanical damage caused during transport is typically not covered by the manufacturer's warranty - worth clarifying in writing before the first journey, along with what the extended warranty or service package includes.
Storage between deployments
The dual function of the flight case is that it is not only a transport item but a place to store: the poster stays in it, upright, in its own compartment, sealed from dust, and nothing can be leaned against it. A flat-packed poster in a bag, by contrast, typically waits for its next deployment propped against a wall, where it can fall over, something can be placed on it, and dust settles on its surface. Temperature deserves separate attention: a cold poster stored in an unheated store and brought into a warm room gets condensation, in which case you have to wait before switching on until the structure reaches room temperature. In practice this means one to two hours of acclimatisation, which has to be planned into the event schedule in advance, because switching on wet electronics is a serious risk.
Stairs, lifts, door widths: the venue sets the limit
The 64 cm wide poster panel fits through any standard interior door, but the case built around it easily exceeds 80 cm because of the padding and the rigid frame, which is a real obstacle at the door of an older building or on a tight stair landing. Height behaves similarly: a two-metre case often will not fit into a small domestic lift even at an angle, whereas a flat-packed poster can be tilted and lifted in - though the 30-45 kg weight means that still takes two people. If many of your venues are upper floors without lifts, the folding build is the more practical. Wheel size is decisive too: small-diameter, hard wheels get stuck on cobbles, thresholds and cable ramps, while larger, rubber-tyred wheels carry even a heavy case over them.
Which build arrives if you hire
If you are not buying but hiring, the question is largely settled for you: hire fleets travel practically exclusively in cases, because a single unit passes through dozens of handlings a year. What matters to you is what the quotation includes: delivery and collection, on-site set-up, loading the content, or just the bare equipment. Ask too who bears the risk of damage in transit, and whether there is an excess. When a poster is not enough: the threshold for a mobile LED wall
The upper limit of the poster is practical rather than technical. As long as you are talking about 1-4 m² of surface and an upright, poster-format image, the poster is unbeatable in either build. Above four to six square metres, for a wide landscape aspect ratio, a custom shape or a stage backdrop, you need a mobile LED wall: a combination of quick-lock rental cabinets, an aluminium truss and a wheeled shipping case. That system means more people and a longer set-up, but in exchange it builds to any size and proportion, and the fleet can be expanded later. If the venue is outdoors with no mains power, the next step up is a LED wall trailer that also runs from its own generator, arriving on a tow bar and raised by a lifting mechanism.
Outdoor deployment: a case does not make an indoor poster outdoor-rated. Brightness, protection and the permitted upper limit
A common misunderstanding is that a rugged flight case makes a poster suitable for street use. It does not: the protection belongs to the display housing, not the case. Indoors the requirement is 600-1,200 nits, and our own indoor modules deliver 800-1,200 - ample in an enclosed space, but too little in direct sunlight, and indoor modules are IP31 rated, that is, not designed for sustained rain or damp. The outdoor build, by contrast, has an IP65-rated sealed housing and considerably higher brightness: the professional minimum is 4,500-5,000 nits with automatic brightness control, and our own outdoor LED modules deliver 5,000-8,000 nits. There may also be a legal upper limit: if the poster goes onto public space or somewhere visible from public space, it counts as a digital advertising medium, and local rules commonly cap its brightness - typically lower after dark than by day - and require the brightness to be automatically variable. Advertising placed inside a shop window is generally outside this. Transport packing remains a question independent of all of it, and there too it is the number of moves that decides.
Power and control: what should travel with the poster
Average operating consumption of a LED surface is generally 150-300 W/m². Within that, our own module datasheets give 220-280 W/m² for indoor modules and 200-300 W/m² for outdoor ones, so a 1.23 m² indoor poster with average content draws roughly 270-345 W. The peak figure - a full white image at full brightness - is generally 600-800 W/m², and 580-650 W/m² on our own indoor modules, which means roughly 710-800 W per panel. A single poster will therefore run from any ordinary mains socket, but four or five posters at peak load already exhaust the capacity of a 16 amp circuit, so this has to be agreed with the venue in advance. On control, Wi-Fi is convenient, but reckon on only 10-15 metres of range, so at an unfamiliar venue always have content pre-loaded on the poster as well; if you want to update content remotely on a schedule, SIM-based cloud control is the way. Store the power cable, the controller and the remote as one unit with the poster: in the cased build that is a given, in the bagged one it needs attention.
Cost logic: what adds cost on each side
Quoting a specific figure off the top of one's head would be misleading, but the cost structure is clearly visible. The folding build has a lower entry cost, but in exchange it generates recurring items: more labour hours per venue, a higher probability of damage, and storage risk between deployments. The cased build means a one-off extra - the price of the case, the greater load space needed, the storage space - but it reduces on-site labour time and the frequency of repairs, and it keeps the equipment in better condition, which matters on resale too. The tipping point is where the number of moves a year multiplied by the labour time per occasion exceeds the one-off cost of the case; with regular event use, that typically happens in the first season.
Five questions that settle it in five minutes
One: how many times a year do you move it? Under eight, a bag; above, a case. Two: who does the packing? If it is rotating, untrained staff, the case is more forgiving, because there is nothing to pack away wrongly. Three: what are the venues like? Many upper floors without lifts and tight stairs argue for the bag; a flat loading area and a ramp argue for the case. Four: where do you store it between events? If you have no secure, temperature-controlled store, the case is the store. Five: would you ever hire it out? If so, a case, because in a hire fleet the packing is part of the service. If three or more of the questions point the same way, you have your decision.
Expert tip
Count handlings, not kilometres. Over an average day's appearance, the poster passes through human hands six to eight times: out of the store, into the vehicle, out of the vehicle, into the room, and then all of that in reverse. Ten events a year therefore means 60-80 handling operations, and the probability of damage is proportional to that number, not to the distance travelled. When weighing the price of the case, do not compare it with the price of the poster but with what a single module replacement plus one lost event costs. In practice, by the second or third season every regularly travelled poster reveals which side the wrong saving was made on.
Common mistakes
1. Ordering the packing as the last item, when the method of transport is what decides which build is right. Having a case made afterwards is always more awkward, because the compartment has to be cut to the specific poster size. 2. Underestimating the weight of the poster. A 640 x 1920 mm panel typically weighs 30-45 kg, so it can be rolled on a wheeled base but lifting is a two-person job - and with the case, the weight to be transported rises by half to double. 3. Not measuring the venue. The 64 cm wide poster fits through a standard door, but the case built around it, at over 80 cm, may not, and the internal dimensions of the lift often only emerge on site. 4. Switching on a poster immediately after transport in the cold. Because of condensation you have to wait until the structure reaches room temperature - one to two hours in practice. 5. The accessories live separately: the power cable, the controller and the remote do not travel with the poster, and their absence only comes to light on site. With the cased build this problem disappears. 6. Taking an indoor poster out onto the street because 'the case will protect it anyway'. The 800-1,200 nits of an indoor panel is too little in sunlight and its housing is IP31: outdoors needs an IP65, 5,000-8,000 nit build. 7. Choosing small-diameter, hard wheels for cobbled city-centre venues, where the case sticks in the joints and on thresholds. 8. Taking the thickness of the poster from an estimate rather than the datasheet, when it can be anything between 3 and 10 cm depending on build - and that decides what bag or compartment it needs.
