Businesses in Nova Gorica rarely need one text display. A hotel and casino operation has a car park entrance, a main door, a reception and a coach drop-off; a retail unit has a street frontage and a rear service yard; a public building has a foyer and a gate. The town's spread-out plan multiplies entrances, and the interesting question stops being which board to buy and becomes how several of them are run as one system without turning into four separate small problems.

Count the boards before you specify the first one

Walk the site and list every position where somebody currently tapes up a printed notice. In a hotel and gaming operation that is typically four or five places: the car park barrier, the main entrance, the reception counter, the coach bay and a staff corridor. Each has a different reading distance and therefore, in isolation, a different pitch. Specify them together and something useful happens. Buying one controller family across all positions means one method of updating, one set of spares and one training session. Buying them one at a time over three years means four different generations of hardware and a facilities manager who has to remember four procedures.

Write one content list and let positions take from it

A library, not four separate boards

Build a single list of messages with a validity date on each, and mark which positions each message appears on. Opening hours go everywhere; a coach parking instruction goes only to the coach bay; a staff notice never leaves the corridor. One person maintains the list and the positions draw from it. The failure this prevents is the common one: a board at a side entrance still announcing an event that ended in March, because nobody remembered it existed. If a message has a validity date, the system removes it whether or not anyone is paying attention.

Give each unit a name, an address and an owner

Boring administration that saves service calls

Every controller gets a plain-language name, a fixed network address and a named person responsible for it, all recorded on one sheet. The controllers accept Wi-Fi or a network cable, and in a building where the car park barrier is a hundred metres from the server cupboard, that flexibility is what makes a wired position possible at all. Have the conversation with your IT people before the order rather than on installation day. Which network segment the boards live on, whether they may reach the internet and who holds the credentials are questions with slow answers, and a display waiting a fortnight for a network port is a display that is not yet earning anything.

Decide in advance which board is allowed to differ

Consistency, with two deliberate exceptions

Uniformity is the default, but not everywhere. A position facing arrivals from the Rožna Dolina crossing or from Trg Evrope serves an audience that will not all read Slovene, and there a message may alternate between two versions with each held long enough to be read in full. That is a decision to take once and write down, because ad hoc bilingual content is how a display ends up cycling six items when three would do. Everywhere else, one language and fewer words. The exceptions should be listed by name on the same sheet that carries the network addresses.

Stagger the maintenance so one visit covers everything

A single morning, once a year

Set the same annual date for the whole set: clean the faces, check the gaskets on the external units, confirm the ambient sensor is still responding and verify that the fallback behaviour still works when the network is unplugged. One morning covers four or five boards if they are done together. That last check is the one people skip. Pull the network cable and watch what happens; the board should fall back to a fixed, always-true message or go dark after the period you set, not sit there displaying yesterday's schedule as though it were current.

Hold the spares locally, because 516 kilometres is far

The delivery includes reserve modules from the same production batch, and with several units on site the sensible arrangement is one shared spares drawer rather than a box beside each board. Two of your staff are shown at handover how to change a module, how to reload a schedule and how to restart a controller remotely. Cover runs for one or two years. Where a visit is genuinely needed it is planned and combined with other work in the region, and travel and the crew's allowance appear as their own lines rather than being absorbed into a service rate. Almost everything else is handled from a keyboard, which at this distance is precisely the point of setting the system up properly at the start.
